Helpful Hints for Preparing ASHRAE Seminar PowerPoint Files |

Each seminar presentation will be audio-recorded along with the PowerPoint presentation. The synced audio/PowerPoint presentations will be converted into a video file and made available for purchase for viewing online and on DVD. Following are a few tips to keep in mind as you prepare your PowerPoint presentation: 1) Don't embed QuickTime movies or audio recordings in a PowerPoint file. Instead, link to the movie or recording from your presentation. Then, be sure to bring the .ppt file and the movie file to the meeting. 2) If the PowerPoint file is made from a Mac, make sure that the file is saved with a .ppt extension. Otherwise Windows might not recognize it as a PowerPoint file. 3) If the PowerPoint file is made from a Mac and includes hyperlinks, test the presentation on a PC well in advance. It is often necessary to recreate those hyperlinks after the file is moved from a Mac to a PC. 4) The original pixel dimensions of any pictures embedded in the PowerPoint files should be no larger than 1024x768, which will be the full-screen resolution of the projector you will be using. 5) Your PowerPoint presentation will be run off of a laptop (a PC), which will have the latest version of Windows and MS Office. Overview of Onsite Logistics On the day of your presentation, arrive at the Speaker’s Lounge at least one hour ahead of your scheduled time. Your presentation and others in your seminar or symposium will be loaded onto the laptop in the presentation room. Software that will sync the audio presentation with the computer screen is installed on the laptop. The first speaker will click “start” to begin and the last speaker will click “stop” to end the recording. Speakers can take questions from the audience.
