ASHRAE's Examination and Desk Copy Policy

Examination Copies

Instructors of universities, technical institutes, and vocational schools may request an examination copy of select ASHRAE books that they wish to consider for course adoption.

Softcover Books
One complimentary copy of up to two different softcover books may be requested per year for a non-refundable shipping and handling fee of $9.00 per book, US ($14.00 per book, Canada; $24.00 per book, outside US and Canada.) These books need not be returned, nor will instructors be billed for them. This examination copy becomes the desk copy of the instructor, if selected for course use.

Hardcover Books
Hardcover books will be sent out on approval for a 60 day examination period. An invoice for the cost of the requested examination copy will be emailed to the instructor upon approval and shipment of the book. The invoiced amount is due immediately after the examination period has passed, unless:

  • An order for 10 or more copies of the requested examination copy is placed within the 60-day examination period by the instructor.

If the instructor wishes to keep the examination copy without placing an order, the invoiced amount is immediately due to ASHRAE. If the instructor does not wish to keep the examination copy, it should be returned to ASHRAE in resalable condition. Once the book has been received at ASHRAE, the invoice will be voided without any further obligation.

ASHRAE publications ordered by a university or college bookstore are not eligible to receive the ASHRAE student member price. The usual reseller discount will apply. Also, instructors may not order books for their university or college bookstore to resell.

Products Not Available for Examination
This policy pertains only to ASHRAE-published books. Exclusions include, but not limited to: books published by other publishers that ASHRAE resells, computer software, ASHRAE data in electronic form such as CD, DVD or PDF format, and ASHRAE Standards and Guidelines.

Restrictions
ASHRAE reserves the right to limit availability of examination copies.

Request Process
Requests for examination copies should be made on department or educational institution letterhead and must include course title, start date of course and estimated enrollment. A credit card number, expiration date and the name on the card must be included with your request to cover the shipping and handling fee.

Desk Copies

If an examination copy has been requested prior to course approval, it will become the instructor's desk copy.

If an examination copy has not been requested, ASHRAE will provide a complimentary desk copy of a book adopted for a course with enrollments of 10 or more students. Requests for desk copies should be made on department or educational institution letterhead and must include course title, start date of course and estimated enrollment.
